How to Write a Job Offer Letter (Template Included)

5 min read

You've found the right person — now don't lose them at the finish line. A clear, warm, prompt offer keeps momentum and signals that you value them. Here's what to include and a template to copy.

Call first, then put it in writing

Make the offer verbally so you can share your enthusiasm and answer questions in real time. The written offer confirms the details — it shouldn't be how they find out.

What to include

  • The role title, start date, and who they'll report to.
  • Salary, and any bonus, equity, or superannuation.
  • Key terms: hours, location or remote arrangement, leave.
  • Any conditions (references, right-to-work checks).
  • A clear acceptance deadline and how to accept.

Make it easy to say yes

Respond quickly to questions, be flexible where you can, and keep the tone warm. The candidate may have other offers — enthusiasm and speed win as often as money does.
